Poster Logistics and Guidelines

PODD poster sessions offer a platform to display your research in a visually appealing and casual setting. ​​​​​​​Below are the guidelines to prepare for your poster presentation.

Poster Presenter Responsibilities

• 
Presentation Commitment: If your abstract is selected, the first author must present. If unavailable, a coauthor may present instead.
• Display Requirements: Presenters are required to print and display their posters during the scheduled session and submit an electronic version. Each poster will be assigned a board number for display.
• Supplementary Materials: Along with the electronic poster, presenters can upload a 5-minute video explaining the poster and may submit up to 5 supporting slides.
• Review Process and Fees: Posters are accepted after review. Presenters must pay the required Poster Presenter Fee as detailed in the Submission Criteria.


Poster Specifications and Deadlines​​​​​​​

• 
Content Requirements: Abstracts and posters should focus on scientific questions, clinical observations, or primary scientific data.
• Non-commercial Rule: To prevent commercial bias, do not include company logos, names, or proprietary drug names.
• Poster Dimensions: Posters should be in landscape format, measuring 77 inches (W) x 48 inches (H) (195 cm wide by 111 cm high). Do not exceed these dimensions.
• Title and Abstract Number: Include the poster title and assigned abstract number that you received upon abstract approval.
• QR Codes: QR codes are allowed to link to digital copies of the poster or additional resources but should not lead to commercial websites or for-profit branding.
• Contact Information: Posters must include one non-commercial email address on the poster for attendees' questions or comments. Note, emails like sales@companyname.com or similar will not be accepted.
• Electronic File Formats: Accepted electronic poster formats are PDF, PPTX, PPT, JPEG, and PNG. Video recordings should be in mp4 format, no longer than 5 minutes. Slides can be in PDF, PPTX, or PPT format.
• Disclosure Information: Disclosure information will be included in the online abstract; thus, coauthor details are not needed on the printed or electronic poster.
• Submission Deadline: Electronic posters and optional materials (slides, videos) must be submitted by October 10th, 2025. Late submissions or corrections will not be accepted.


Onsite Poster Logistics

• 
Poster Drop-off: Upon arrival, drop off your poster at the poster bin at Registration. The PODD team will hang it 30 minutes before your session. ​​​​​​​
• Handouts: You may distribute handouts of your poster or non-commercial supporting materials at your poster board.​​​​​​​
• Poster Removal: Presenters must take down their posters at the end of their session. Posters left behind will be removed by the PODD team and placed in the poster reclaim box at Registration. Any posters that are not picked up at the end of the conference will be discarded.​​​​​​​

Withdrawal Policy


• Requests for withdrawals BEFORE September 12th, 2025: A full refund is provided less an admin fee of $195. Alternatively, you can transfer your submission to still attend PODD, with access to networking and the option to bring a second author.​​​​​​ 
• Requests for withdrawals AFTER September 12th, 2025: Must be submitted by the first author. You will receive a 25% refund. Your benefits will include attending the conference and networking opportunities. If you cannot attend PODD, your pass can be transferred to another author or a colleague on your team. Alternatively, you may choose to receive full credit toward PODD 2026. Withdrawals made after October 1st, 2025, will not be eligible for refunds.​​​​​
